Third party accounts

The platform can help you manage connections between your customers. Some of your customers might be working on behalf-of or as a sub-company of another account.


All of the connections can be easily displayed under the account management by clicking on "Accounts" on the main menu, and then on the "Third Parties" button on the page menu.


The platform restricts the number of connections an account might have to up to 3 connections only. Once this limit is reached, the customer or the administrator must remove a connection before adding new connections.



Third party accounts


All of your accounts can be linked as third-party to another account. However, an account can be defined as type "Third Party" which helps you identify accounts that are not active customers but are entities you can address in the platform.


Third-party accounts, and the associated users, cannot participate in events or viewing. The account can be used for invoice purposes.


Third-party accounts, much like any other account, can be linked to other accounts to record a connection between the two accounts.



Linking accounts


Linking between 2 accounts can be done either by an administrator or by any of your customers.


For security reasons, the process includes 2 steps. We will follow an example of linking Company A as a third-party of Company B (i.e, Company A is a sub-company of Company B)


Request "Access Code":

To perform the connection, we first must ask Company B for permission to perform this action. This is done by asking Company B to provide us with their access code. This is a 6-digit code valid for only 72 hours that should be provided to any company that Company B granted permission to connect.


To generate the access code, Company B should go to their company profile page, and then click on the "Third Parties" button on the top menu. On the right side of the screen, click on the section "I want to grant permission", and then click on the "Get Access Code" button.


As an administrator, you can request access codes for any of your accounts, giving you the ability to connect any account without asking for permission.

Request to link accounts by Access Code:

Once we have a valid access code from Company B, we can now connect Company A to Company B.  Company A should go to their company profile page, and then click on the "Third Parties" button on the top menu. On the right side of the screen, click on the section "I want to connect". This will open a form to fill out the provided Access Code. Once the system validated the Access Code, you can click on the "Send Request" button to send the request for linking.



Please notice that the connection between accounts is only a one-way connection. Meaning that Company B is the third-party of Company A, but NOT vice-versa. To have the opposite connection, the process needs to be repeated from the side of Company A



Managing third-parties


The administrator can connect any accounts while also managing requests to link accounts from the customers themselves.


Once a customer requests to link their account, the administrator must approve or reject the request. This process can help you manage due diligence.


To see all third parties and the connections, you can click on "Accounts" on the main menu, and then on the "Third Parties" button on the page menu.




Third-Party in Invoices


One of the usages of third-party connections is to address invoices to be paid by another account. Meaning, an invoice for Company A might need to be addressed to Company B, as their third-party company. 


Only third-parties connections approved by the administrator can be used in invoices as recipients.


When an invoice is created for an account with third-parties, the invoice will be marked with the status "Pending Approval". This status will give the customer an option to update the invoice recipient to one of their third-parties or to approve the invoice with themselves as the recipient. Once approved, the invoice will be updated to the status "Draft" for the administrator to approve and finalize the invoice.
